Getting Started

What is Track My Academy?

Track My Academy is a comprehensive sports management platform designed for academies, coaches, and athletes. We provide tools for attendance tracking, performance analytics, fee management, and data-driven training insights to help athletes reach their full potential.

How do I sign up for Track My Academy?

Click the "Get Started" button on our homepage. Choose your account type (Academy Admin, Coach, or Player), fill in your details, and verify your email. Academy admins can then invite coaches and add players to their academy.

Is there a free trial available?

Yes! We offer a 14-day free trial for academy admins. No credit card required. You'll have full access to all features during the trial period to explore how Track My Academy can benefit your organization.

What devices can I use Track My Academy on?

Track My Academy works on all modern web browsers (Chrome, Firefox, Safari, Edge) on desktop, tablet, and mobile devices. We also offer a Progressive Web App (PWA) that you can install on your mobile device for a native app-like experience.

Do I need any special equipment to use the platform?

No special equipment is required for basic features. However, for advanced IoT-backed performance tracking, you may need compatible wearable devices or sensors, which we can help you set up.

Account Management

How do I reset my password?

Click "Forgot Password?" on the login page, enter your registered email address, and you'll receive a password reset link. The link is valid for 15 minutes. If you don't receive the email, check your spam folder or contact support.

Can I change my email address?

Yes, you can update your email address in your profile settings. You'll need to verify the new email address before the change takes effect for security purposes.

How do I delete my account?

Account deletion is permanent and cannot be undone. Please email support@trackmyacademy.com with your account details, and our team will process your request within 48 hours while ensuring all your data is permanently removed from our systems.

I'm not receiving emails from Track My Academy. What should I do?

First, check your spam/junk folder. Add support@trackmyacademy.com and donotreply@trackmyacademy.com to your email whitelist. If the issue persists, contact support@trackmyacademy.com with your registered email address.

Can I have multiple roles (Coach and Player)?

Currently, each account is assigned one primary role. If you need multiple roles, you'll need to create separate accounts with different email addresses. We're working on multi-role support for future releases.

Academy Management

How do I add coaches to my academy?

Go to Academy Dashboard → Coaches → "Add Coach". Enter the coach's details and email. They'll receive an invitation email to join your academy. Once they accept, you can assign them to specific teams or training groups.

How do I add or remove players?

Navigate to Academy Dashboard → Players → "Add Player". Fill in player details including name, email, sport, and registration number. To remove a player, go to their profile and select "Deactivate Player". Deactivated players can be reactivated later without losing historical data.

Can I manage multiple sports in one academy?

Yes! Track My Academy supports multi-sport academies. You can add unlimited sports and organize players and coaches by sport category for better organization.

How do I customize my academy profile?

Go to Academy Settings → Profile. Here you can upload your academy logo, update contact information, set your timezone, and customize system settings according to your needs.

What happens to my data if I cancel my subscription?

Your data remains accessible in read-only mode for 30 days after cancellation. During this period, you can export all your data or reactivate your subscription. After 30 days, data is permanently deleted as per our data retention policy.

Fee Management

How do I set up fee collection?

Go to Academy Dashboard → Fee Collection → Select a player → Click "Edit" icon → Enter fee amount, frequency (monthly/quarterly/annual), due date, and status. The system will automatically track payment status and send reminders.

Can I send automatic fee reminders?

Yes! Go to Academy Settings → System Settings → Fee Reminder Type. Choose "Automatic" for system-generated reminders or "Manual" to customize each reminder before sending. Automatic reminders are sent via email to players with unpaid fees.

How do I mark a fee as paid?

In Fee Collection, locate the player's fee record and click "Mark Paid" in the Actions column. The status will update immediately, and the payment date will be recorded automatically.

Can I customize fee reminder emails?

Yes, if you select "Manual" reminder mode, you can fully customize the subject and content of each reminder email before sending. Automatic mode uses professional pre-designed templates.

Can I track payment history?

Yes, all payment status changes are recorded with timestamps. You can view a player's complete fee history in their profile under the Fee History section.

What payment methods do you accept?

Currently, payment collection happens outside the platform. We provide fee tracking and reminder tools. Integrated payment gateways (Razorpay, Stripe) are coming soon in future updates.

Attendance & Performance

How do I mark attendance?

Coaches can mark attendance from Coach Dashboard → Attendance. Select the date, choose players present/absent, and save. Attendance data is instantly reflected in analytics dashboards.

Can players view their own attendance records?

Yes, players can view their attendance history, attendance percentage, and trends in their Player Dashboard under the Attendance section.

How are performance metrics tracked?

Performance data can be manually entered by coaches or automatically captured through integrated IoT devices. Metrics include speed, endurance, technique scores, and sport-specific KPIs.

Can I export performance reports?

Yes, performance reports can be exported as PDF or CSV from the Analytics dashboard. Select the date range and players, then click "Export Report".

How far back can I view historical data?

All historical data is preserved throughout your subscription. You have unlimited access to past attendance, performance metrics, and fee records from the day you started using Track My Academy.

Technical Issues

The website is loading slowly. What should I do?

Slow loading can be caused by internet connection, browser cache, or high server load. Try: 1) Clearing your browser cache, 2) Using a different browser, 3) Checking your internet connection, 4) Trying again during off-peak hours. If the issue persists, email support@trackmyacademy.com.

I'm getting an error when trying to log in. Help!

Common solutions: 1) Ensure you're using the correct email and password, 2) Clear browser cookies and cache, 3) Try resetting your password, 4) Disable browser extensions temporarily, 5) Try a different browser. If none work, contact support@trackmyacademy.com with a screenshot of the error.

Some features are not working properly. What should I do?

First, try refreshing the page (Ctrl+R or Cmd+R). If that doesn't help, clear your browser cache, or try using an incognito/private browsing window. Make sure you're using an updated browser version. If the issue continues, report it to support@trackmyacademy.com with details about what you were trying to do.

Can I use Track My Academy offline?

Limited offline functionality is available through our PWA. You can view previously loaded data offline, but creating new records or syncing data requires an internet connection. Data will sync automatically when you're back online.

My data is not syncing between devices. Why?

Data syncs in real-time when you're online. If you're seeing outdated data: 1) Refresh the page, 2) Log out and log back in, 3) Clear browser cache, 4) Check your internet connection. If the problem persists after trying these steps, contact support@trackmyacademy.com.

Billing & Pricing

What are the pricing plans?

Visit our Pricing page to see current plans. We offer flexible monthly and annual subscriptions for academies of all sizes. Annual plans come with significant discounts. Contact support@trackmyacademy.com for enterprise pricing.

Can I upgrade or downgrade my plan?

Yes, you can change your plan anytime from Academy Settings → Billing. Upgrades take effect immediately. Downgrades take effect at the end of your current billing cycle to ensure you get full value for your payment.

Do you offer discounts for annual payments?

Yes! Annual subscriptions come with up to 20% discount compared to monthly billing. See our Pricing page for exact savings.

Is there a refund policy?

We offer a 30-day money-back guarantee for annual plans. If you're not satisfied within the first 30 days, contact support@trackmyacademy.com for a full refund. Monthly subscriptions are non-refundable but can be cancelled anytime.

What payment methods do you accept?

We accept all major credit/debit cards, UPI, net banking, and digital wallets through our secure payment partners. All transactions are encrypted and PCI-compliant.

Privacy & Security

How is my data protected?

We use industry-standard encryption (SSL/TLS) for all data transmission. Data at rest is encrypted using AES-256. We follow strict security protocols and undergo regular security audits. Read our Privacy Policy for complete details.

Who can access my academy's data?

Only authorized users within your academy (admins, coaches, players) can access relevant data based on their role. We never share your data with third parties except as required for service operation (see our Subprocessors page) or by law.

Can I export my data?

Yes, you can export all your data anytime from Academy Settings → Data Export. You'll receive a complete archive of your data in CSV and JSON formats within 24 hours.

Is my payment information stored?

No, we never store complete payment information. All payment processing is handled by PCI-compliant third-party providers (Razorpay/Stripe). We only store anonymized payment references for billing history.

How long do you retain my data?

Active subscription data is retained indefinitely. After cancellation, data is kept for 30 days in read-only mode, then permanently deleted. You can request immediate deletion by contacting support@trackmyacademy.com.

Mobile & App

Is there a mobile app?

We offer a Progressive Web App (PWA) that works like a native app. On your mobile browser, visit trackmyacademy.com and click "Add to Home Screen" when prompted. You'll get an app icon and app-like experience without downloading from an app store.

How do I install the PWA on my phone?

On Android: Visit trackmyacademy.com in Chrome → Tap the three dots menu → "Add to Home screen". On iOS: Visit trackmyacademy.com in Safari → Tap the Share button → "Add to Home Screen". The icon will appear on your home screen.

Does the mobile version have all features?

Yes! The mobile version includes all features available on desktop. The interface is optimized for smaller screens while maintaining full functionality.

Can I receive push notifications?

Yes, once you install the PWA, you can enable push notifications for attendance reminders, fee updates, and performance alerts in your notification settings.

Integration & API

Does Track My Academy integrate with other tools?

We currently offer integrations with Google Calendar for schedule syncing and analytics tools. More integrations (WhatsApp, SMS, payment gateways) are in development. Contact support@trackmyacademy.com if you need a specific integration.

Is there an API available?

API access is available for enterprise plans. Contact support@trackmyacademy.com to discuss your API requirements and get documentation.

Can I import data from other platforms?

Yes, we support bulk import via CSV for players, coaches, and attendance data. Go to Academy Settings → Import Data and download our CSV template for the correct format.
